SCOPE OF SERVICES

1.0 SCOPE OF SERVICES :

1.1 SCOPE :

1.1.1 Scope of services comprises the design/engineering of the mechanical and electrical & plumbing systems for the proposed Project comprising the following:

1.1.2 System design and drafting will be carried out using computer software such as AutoCAD.

1.2 SYSTEMS AND EQUIPMENT

Following systems and equipment as applicable are included in the scope.

1.2.1 H.V.A.C. SYSTEM

a) Refrigeration machines with accessories.

b) Cooling towers, pumps or air-cooled a.c.plant.

c) Air handling units, fan coil units.

d) Ventilation/ exhaust fans.

e) Chilled water, condenser water and drain piping, insulation. (As required).

f) Ducting, grilles, diffusers, dampers, insulation. (For common areas fully but for other areas up to the wall limits and not internally).

g) Controls.

1.2.2 BOILERS AND ANCILLARIES

Not considered for this project.

1.2.3 ELECTRICAL SYSTEM

a) Substation.

b) Generator plant.

c) L. T. panels, distribution boards.

d) Cables, conduits, wiring.(for common areas fully but for office areas up to the wall limits and not internally).

e) Earthing, lightning protection.

f) Luminaries, lamps, fans (excluding decorative lighting).(for common areas fully but for office areas up to the wall limits and not internally).

g) Wiring for low voltage systems.

(Telephone, music, P.A., T.V., security, data cabling). (For common areas fully but for office areas up to the wall limits and not internally).

1.2.4 PLUMBING SYSTEM

a) Water storage tanks.

b) Pumps and control panels.

c) Water supply piping.

d) Soil, waste, rainwater piping including external drainage.

e) Sanitary fixtures and fittings.

f) Water treatment/ softening plants and controls.

g) Hydro pneumatic system and controls.

h) Sewage treatment plant and controls.

i) Swimming pool and water bodies - piping and treatment plants. (Not included)

1.2.5 FIRE PROTECTION SYSTEMS

a) Fire detection and alarm including panels, cables, conduits, wiring, and controls. (Except office internal).

b) Fire fighting system comprising pumps, hydrants, hose reels, sprinklers, piping, controls. (Except office internal).

1.2.6 BUILDING MANAGEMENT SYSTEM

1.3 STAGES OF WORK :

Design and Engineering work will be carried out by the Consultants in the following stages:

1.3.1 STAGE I - CONCEPTUAL DESIGN STAGE

a) Take the Owner's and Architects’ instructions regarding the requirements of the project.

b) Prepare conceptual notes and drawings outlining the Consultants’ general understanding of the requirements on the systems and also indicating the location and space requirements for various equipment and services.

c) Discuss and co-ordinate the proposals in the conceptual notes and drawings with the Owner and the Architects.

Stage I will be deemed to have been completed when the following documents are submitted by the Consultants to the Owner/Architects.

a) Conceptual notes, drawings and sketches.

c) Preliminary cost projections.

1.3.2 STAGE II - DESIGN STAGE

a) Prepare design drawings-plant rooms, pump rooms, other equipment, ducting, piping, lighting, power, service core, shafts, sections, riser diagrams, control diagrams, single line electrical diagrams, flow diagrams.

b) Update the conceptual notes, incorporating changes/ revisions if any during the preparation of design drawings.

Stage II will be deemed to have been completed when the following documents are submitted by the Consultants to the Owner/ Architects.

a) Design drawings.

b) Updated conceptual notes, if revised.

Note: Ducting, piping, lighting and power in internal of offices are not

included in the design.

1.3.3 STAGE III - TENDER STAGE

a) Prepare tender documents comprising commercial and technical specifications, bill of quantities and drawings.

b) Update the cost estimates.

c) Prepare draft tender notice.

Stage III will be deemed to have been completed when three sets each of the following documents are submitted by the Consultants to the Owner to enable invitation of tenders or alternatively invite the tender on behalf of the Owner.

a) Commercial and technical specifications.

b) Bill of quantities.

c) Tender drawings.

d) Draft tender notice.

1.3.4 STAGE IV - CONTRACT AWARD STAGE

a) Scrutinise and evaluate the tenders received by the Owner.

b) Prepare points for technical clarifications and confirmations from the Tenderers.

c) Discuss and finalize with the Owner and Tenderers all technical points.

d) Prepare 'Report on Tenders'.

e) Assist the Owner in commercial negotiations with Tenderers, if required by the Owner.

f) Prepare draft letters of intent, drafts of detailed works orders and other documents necessary for award of work.

Stage IV will be deemed to have been completed when the following documents are submitted by the Consultants to the Owner.

a) Report on tenders.

b) Drafts of letters of intent and orders.

c) Three additional sets of drawings and technical documents for use during construction.

1.3.5 STAGE V - CONSTRUCTION STAGE

a) Review, comment and approve technical data and shop drawings submitted by the Contractors.

b) Visit the site periodically (average one visit in two weeks) for broad inspection as and when necessary during construction and convey decisions and instructions to Owner's Site Manager/ Engineers.

NOTE: Day-to-day project management, site measurement of Contractor’s works, follow-up with Contractors, any liason or follow-up with Statutory Authorities are excluded from the Consultant’s scope of services.

c) Certify the satisfactory installation of the systems/ equipment.

d) Obtain ‘as-built’ drawings from Contractors and

forward them to owner.

Stage V will be deemed to have been completed when Completion Certificates are issued by the Consultants.

.0 EXCLUSIONS :

2.1 Following services are specifically excluded from the Consultants’ scope:

a. Day – to – day project management.

b. Site measurements of Contractors works.

c. Liaison / follow up with Statutory Authorities.

d. Design / engineering of kitchen / health club etc.

e. Design/ engineering of all internal services within the office areas.

f. Design / engineering of boilers & ancillaries, swimming pool & water bodies.

3.0 SCHEDULE OF FEE :

3.1 FEE :

3.1.1 Owner will pay the Consultants lumpsum professional fee as per decided.

3.2 MODE OF PAYMENT :

3.2.1 Professional fee as per decided will be paid by the Owner to the Consultants on completion of different stages as under:

a) Retainer along with the

Letter of Appointment - Rs. /-

b) Stage I - Conceptual - 25% of the total fee

Design Stage less Rs./-

c) Stage II - Design Stage - Four equal installments of

7.5% each of the total fee,

During design stage.

d) Stage III - Tender Stage - 10% of the total fee

e) Stage IV - Contract - 10% of the total fee

Award Stage

f) Stage V - Construction - 25% of the total fee

Stage

3.2.2 Fee under Stage V - Construction Stage shall be paid in eighteen monthly equal installments spanning the construction period.

3.2.3 In addition to the professional fee indicated above, Owner shall pay the Consultants service tax levied by the Government of India at actual.

3.2.4 If the project or any system is abandoned altogether or discontinued, then the Owner will pay the Consultants fee corresponding to the stage of work then in progress.

3.2.5 The fee agreed will be applicable up to / /20. If the project extends beyond this period, the Owner will pay the Consultants additional fee at mutually agreeable rate.

3.2.5 Consultants will submit to the Owner bills/ debit notes on completion of each stage of each system separately or together as per the progress of design/ engineering services and the Owner will make payments to the Consultants within one week of presentation of such bills/ debit notes.

4.0 REIMBURSIBLE EXPENSES:

4.1 In addition to the professional fee indicated above, Owner will pay the Consultants actual expenses as under:

a) To and fro air fare (Economy class), boarding and lodging expenses and out of pocket expenses such as taxi fares etc. for any visit outside Mumbai, if required in connection with the project. (Tickets shall be arranged by the Owner. Visits outside Mumbai, if required will be undertaken only on Owner’s specific instructions).

b) Actual cost of drawings and other technical documents, over and above those indicated in the Scope of Services.

c) Actual cost of international telephone calls/ fax messages and international courier charges, if any.

5.0 TIME SCHEDULE :

5.1 Design and engineering services will be carried out by the Consultants within the following time frame:

a) Conceptual Design - 4 weeks

b) Design - 6 weeks

c) Tender Documentation - 4 weeks

5.2 The above time frame will be reckoned from the day Owner/ Architects give approval on the preceding stage of work.

5.3 Owner/Architects shall furnish all relevant information and approvals at each stage within reasonable time.

5.4 All drawings furnished by the Owner, Architect and other Consultants shall be in AUTOCAD Version 2006.
